Rail/Strategic Project Administrator

Primary Purpose

Tracks and supports rail department and strategic project shipments, manages associated paperwork and vendor invoices. Interfaces with internal and external vendors and customers, as well as accounting department. Also performs various clerical functions such as filing, maintaining records, and operating computer or other office equipment to process paperwork. Supports strategic project and rail proposal efforts.

Essential Functions and Responsibilities

  • Ensures Health & Safety is the number one goal by following policies, processes, and acting in a safe manner at all times
  • Enter information into on-line systems, both HES programs and Rail Carrier programs, job files, or other related paperwork
  • Manages paperwork for transportation orders
  • Support the Strategic Project Group with respect to project shipments and proposal writing
  • Create and maintain rail and project spreadsheets in EIS and Excel
  • Participates in customer invoicing process
  • Perform accounting duties; process third party invoices
  • Coordinates new vendor approvals with the supply chain department
  • Contact vendors for pricing; manage vendor invoices; maintain needed supplies/services
  • Extract data from rail car tracing reports from various rail websites and use this information to generate operations reports
  • Understand rail freight billing, STCC codes, container tracking, and railroad terminology
  • Process necessary paperwork for drivers to load and unload containers
  • Manage specific project and transportation related functions as assigned
  • Backup rail dispatch as needed

Education: High school diploma or its equivalent required. 2 or 4-year degree preferred.

Experience: Internal Candidates: minimum 1 year of successful company experience required.  

Knowledge and Abilities: Good organizational skills. Strong working knowledge of computers. Must be proficient in Microsoft Office, specifically Outlook, Excel, and Word. Working knowledge of DOT and RCRA regulations and terms. Good writing and interpersonal skills to effectively communicate with internal and external contacts. Good analytical skills. Regular and predictable attendance is an essential function of this job.

A post offer drug screen will be required.
