Project Coordinator

Primary Purpose

Assist Project Managers in all areas related to identifying, managing, and invoicing projects.

Essential Functions and Responsibilities

  • Ensures Health & Safety is the number one goal by following policies, processes, and acting in a safe manner at all times.
  • Provide support for all project related activities.
  • Collaborate cross-departmentally to ensure data/billing accuracy.
  • Research new supplier and material outlets as needed.
  • Manage the supplier approval process and coordinate with Supply Chain group.
  • Enter and maintain project information within Salesforce for opportunity tracking and reporting.
  • Working as part of a PM team with no specific customer assignment.
  • Create, maintain and organize project related documents including billing information.
  • Actively manage all cashflow related items including, but not limited to customer invoicing, item setup and collections.
  • Assist account administrator with the creation of billing items on an as needed basis.
  • Assist with the preparation of customer proposals and other PMG marketing materials.
  • Assist with project scheduling requests and associated paperwork.
  • Prepare monthly/annual activity reports.
  • Review supplier and customer invoices for accuracy as assigned.
  • Manage supplier approvals requiring additional follow-up.
  • Direct management of specific customer programs requiring continuous monitoring.
  • Assist with securing outlets for waste that will be managed to third party sites, including approvals, pricing and logistics.
  • Limited travel required.

Education: High School Diploma or its equivalent required. Four -year college degree preferred.

Experience: Minimum 2 years relative customer service or environmental experience required. Waste industry experience preferred.

Knowledge and Abilities: Strong attention to detail and time management skills. Excellent communication and relationship skills. Strong computer skills (Word, Excel, Outlook, and Salesforce). Strong decision-making skills and ability to prioritize multiple tasks in a fast paced environment.  Regular and predictable attendance is an essential function of this job.

A post offer drug screen will be required.
