Operations Support Manager

Primary Purpose

Maintain office services by organizing office operations and procedures; controlling correspondence; designing systems, reviewing and approving requisitions and assigning and monitoring clerical functions. Mentor to all management, environmental, and administrative staff in multiple locations. Service customer accounts as single point of contact using the following responsibilities and functions.

Essential Functions and Responsibilities

  • Ensures Health & Safety is the number one goal by following policies, processes, and acting in a s safe manner at all times.
  • Assists in interviewing, hiring, training, and performance evaluations with site administrative positions.
  • Liaison for company communication procedures and policy changes.
  • Responsible for monitoring and approving hourly employee time clock entries.
  • Assist all location managers as well as other team members when necessary.
  • Prepares and audits reports related to all locations. Will ensure accuracy and quality of work (i.e. comparison spreadsheet, profit and loss statements, and accounts receivable.
  • Develop and revise functional policies and procedures to the demanding changes of our business.
  • Interfaces with all areas of the company, giving and receiving information that is relevant to company operations.
  • May participate in regional or national meetings.
  • Assists in managing major projects at designated locations, which includes billing, job cost and collections.
  • Responsible for assisting in each locations budget preparation and forecasting. May be held accountable for operating within budget guidelines.
  • Serves as a liaison for the clients and service centers.
  • Requires regulatory understanding of generator requirements.
  • Handles customer inquiries and questions regarding company services, cost of services, and proper completion of required paperwork.
  • Communicates with the client and service centers regularly to ensure service satisfaction and resolving of any issues or questions.
  • Submits samples for testing as needed for waste approval.
  • May need to interpret MSDSs/SDSs to profile materials.
  • Promotes service offerings to existing customers.
  • Assists in the coordination of scheduling sites for pick-up.
  • Troubleshoots client issues with waste, transportation, and logistics of program.
  • May take waste orders from customers, submit scheduling forms to schedulers. May complete appropriate shipping paperwork, manifest, labels, etc.
  • Coordinate and manage data to provide reports for clients. (KPI)
  • May be required to attend client meetings presenting KPI data
  • Handles any non-conforming waste situation in a timely manner.
  • Collects and consolidate Universal Waste and assist in recycle programs on site
  • Assist with customer projects and supports embedded contractors on waste services
  • Supports on site drivers, through scheduling of local pick ups
  • Minimal travel may be required.
  • Performs other duties as assigned.

Education: High School Diploma, or its equivalent required. 2 year post-secondary training in Business, Management, or Accounting preferred.

Experience: Min. 5 years of office management experience required.

Knowledge and Abilities: Excellent customer relations skill both internal and external. Good organizational skills and prioritizing to meet all scheduled deadlines. Initiative and innovation to improve skills as needed and is proactive to solve potential problems. Excellent Microsoft Office skills including Excel, Outlook, Word, etc. Must be able to travel. Regular and predictable attendance is an essential function of this job.
