Office Manager I

Primary Purpose

Maintain office services by organizing office operations and procedures; preparing payroll; controlling correspondence; designing systems, reviewing and approving requisitions and assigning and monitoring clerical functions. Mentor to all management and administrative staff in multiple locations.

Essential Functions and Responsibilities

  • Ensures Health & Safety is the number one goal by following policies, processes, and acting in a safe manner at all times.
  • Assists in interviewing, hiring, training, and performance evaluations with all administrative positions in multiple regions.
  • Work as human resource contact, which includes all employee related paperwork. Ensure HR policies and procedures are followed. Communicate any policy changes.
  • Responsible for monitoring payroll records.
  • Assist all location managers as well as other team members when necessary.
  • Prepares and audits reports related to all locations. Will ensure accuracy and quality of work (i.e. comparison spreadsheet, profit and loss statements, and accounts receivable.
  • Develop and revise functional policies and procedures to the demanding changes of our business. Facilitates bench marking of office items.
  • Interfaces with all areas of the company, giving and receiving information that is relevant to company operations. May provide formal training to all company employees, such as PeopleSoft procedures, MMS, and accounting practices.
  • May participate in regional or national meetings.
  • Manages all major projects at designated locations, which includes billing, job cost and collections.
  • Responsible for assisting in each locations budget preparation and forecasting. May be held accountable for operating within budget guidelines.
  • Minimal travel may be required.
  • Performs other duties as assigned.

Education: High School Diploma, or its equivalent required. Two years post-secondary training in Business, Management, or Accounting preferred.

Experience: 8+ years of office management experience required.

Knowledge and Abilities: Excellent customer relations skill both internal and external. Good organizational skills and prioritizing to meet all scheduled deadlines. Initiative and innovation to improve skills as needed and is proactive to solve potential problems. Excellent Microsoft Office skills including Excel, Outlook, Word, etc. Must be able to travel. Regular and predictable attendance is an essential function of this job.

A post offer drug screen will be required.
