Primary Purpose

The Executive Assistant will support C-Suite Leaders within the organization. The position is best suited for a mature, collaborative, and technically minded individual that can proactively anticipate the needs of leaders. The Executive Assistant is a vital resource that will preserve the Leaders' time and enable efficiency and collaboration within their business.

Essential Functions and Responsibilities

  • Coordinate all administrative matters for the Leaders'; including travel and office schedules, composing correspondence and emails, and managing key projects per request.
  • Assist Leaders' with meeting responsibilities including managing invitations, creating itineraries and agendas, drafting & editing documents, coordinating follow-ups as appropriate, etc.
  • Manage the Leaders' calendar and coordinate meetings with internal and external parties.
  • Provide creative work solutions and have input on process improvements.
  • Complete monthly expense report filing for Leaders'.
  • Act as a representative of the Company by properly managing brand, flow of information and confidential data.
  • Provide support in general office organization, work flow, and organize events coordination to take place inside/outside the organization.
  • Improve quality results by studying, evaluating, and re-designing processes; implementing changes as it relates to technology and efficient operations.
  • Support the expedition of critical business agenda and deliverables.
  • Enhance the Leadership Teams' performance by accepting ownership for accomplishing new and different requests.
  • Minimal travel less than 5% and only as necessary for the role.

Education: Associates Degree or Bachelor's Degree required.

Experience: Minimum 15 years' proven experience in an executive assistant or support role in a corporate environment. Event planning/management experience preferred.

Knowledge and Abilities: Trustworthy and competent in handling highly confidential information and materials. Exceptional and highly professional written and verbal communication skills. Ability to set priorities, rearrange those priorities quickly when needed and get things done in a timely manner. Excellent eye for detail. Possess outstanding organizational skills. Proficient in Microsoft Office Suite of products including excellent PowerPoint skills, Word and Excel. Demonstrated ability to build relationships and work in a collaborative and team-based environment. Demonstrated ability to utilize technology to create streamlined processes and efficiency. Takes the initiative and anticipates needs of the Leaders' and their direct reports.
